Start with a number you can explain
For an initial event estimate, start the conversation at one portable toilet for every 50 guests. That gives one unit for 50 guests, two for 100 guests and five for 250 guests. Duration changes what the number means

Check whether indoor bathrooms are really available
A 100-person backyard party with an indoor bathroom has a different starting point from an event with no permanent facilities. The number of portable toilets still needs to be reviewed for that event. Ask whether guests may enter the home, whether the bathroom will remain open, and whether the reason for renting is to reduce demand on a septic system. Facilities that are locked, out of service or reserved for staff should not be counted as guest capacity.
Food, drinks and simultaneous breaks
Tell the rental team if food or alcohol will be served and whether a program break will send many guests to the facilities together. Provide the actual schedule so the rental team can review the quantity and servicing needed for those peaks. For example, a reception with 150 guests should begin the discussion at three units, then have the duration and reception schedule reviewed before that number is accepted.
Count accessible facilities and handwashing separately
Where accessibility requirements apply, assess each restroom cluster and its route. An accessible cabin must be reachable, not merely present somewhere on the property. Soap-and-water washing also needs its own equipment and replenishment plan. A separate sink helps guests wash without keeping a toilet occupied.
